ARC has developed and implemented a “green policy” to actively engage in practices consistent with being environmentally-conscious.  ARC promotes and maintains these practices throughout all of its offices to ensure the effectiveness and currency of its recycling, reusing and reducing strategies.  The company remains open and observant of new practices that it may adopt to ensure optimal performance. Since the activation of ARC’s green policy, the organization has been successful on a number of dimensions.  This commitment has been applied throughout ARC’s three offices as further described here.

ARC’s Edmonton office is run by the Manulife Place operations group. Manulife has a long-standing commitment to the environment, and have adopted a formal environmental policy since 1995. Manulife strives to achieve the highest standards of environmental responsibility by establishing and maintaining a broad range of procedures that ensures sensitivity to the environment. Specifically, Manulife emphasizes energy conservation, sustainability, environmental risk management, recycling and healthy work environments. Governance and oversight of these programmes are done both by internal management systems and third-party industry audits and certifications. The policy is supported by comprehensive procedures and risk management practices. From a corporate oversight viewpoint, Manulife’s environmental policy and the related procedures are administered under the oversight of the Chief Environmental Officer, and an environmental review is presented annually to the Board of Directors. Practical examples within the building include active recycling of waste (cardboard, cans, bottles, paper/newspaper, etc.), and automated lights shutdown, rampup of air conditioning in peak periods (with shutdowns in non-peak periods).

Our Calgary office is located in Bow Valley Square run by Oxford Properties.  The Oxford Properties Group‘s policy states it is committed to a 20% reduction in emissions by 2012 across their company’s entire office portfolio.  They have upgraded the lights within the building to higher efficiency as well as started light sweeps and shutting down of escalators earlier. They have an ongoing recycling program throughout the building and are implementing a capital project that will help lower emissions. 

Our Toronto office is run by Avison Young.  Avison Young has implemented an “Environmental Management Plan” within their building in order to improve and enhance the environment.  Avison Young places great effort into recycling and is Bill 143 compliant.  Information displays are set up in the lobby during Earth Week and Waste Reduction Week.  Recycling reminders and changes are delivered to tenants via email.  Lighting is controlled by an electronic timer control system to automatically shut off lights within the tenanted areas at 10:00 pm. 

In addition to the overall building programs, individual ARC offices have also implemented various recycling practices and projects.  In terms of daily practice, ARC provides recycling bins for paper located in common areas next to printers and fax machines.  In connection, employees are encouraged to carefully decide whether to print documents rather than view them on their computers. In the event printing is necessary, then double sided printing has been actively encouraged. ARC’s printer hardware acquisitions require that the device can print double-sided – default settings for network printing are set to double-sided/black and white. Color printing is only done when necessary and therefore preserves toner usage and reduces the need to recycle/recondition these cartridges. ARC also provides recycling bins for bottles, plastics and aluminums.  These are located within kitchen areas and are collected by building operations personnel. 

ARC offices, from time to time, also engage specific project work to address an environmental issue. Historical examples of these include:

·         Server Consolidation Project – ARC’s corporate data centre went through a complete overhaul with the key objectives being the:

o   decommissioning of an air conditioning unit that had a high degree of water consumption

o   reduction of the heat footprint through the replacement of old servers

o   reduction of power usage through the replacement of old servers

·         Hardware Recycling – old hardware is taken to facilities where they can be reconditioned or recycled

·         Donation of Hardware – ARC has donated hardware, no longer in active use in the company, to such recipients as schools or employees for home use

ARC’s Steve Parent, a Calgary-based Enterprise Content Management (ECM) professional, recently presented to an audience of chief information officers in Calgary to talk about enterprise content management (ECM). Parent's session, sponsored by the Canadian Information Processing Society (CIPS), drew a full house of corporate types around the breakfast table at the Petroleum Club.

Parent says that ECM systems are for 'unstructured data,' which he defines as anything that's not in a relational database. Word documents, PowerPoint presentations, videos, large maps, web pages, all of the rich media content. Parent quoted comedian George Carlin: 'That's all your house is: A place to keep your stuff. If you didn't have so much stuff, you wouldn't need a house. You could just walk around all the time.' ECM is for people with a lot of stuff. Oil and gas companies, for instance, are flying over environmental sites and taking video - that's unstructured content, he says. All of these can be stored, filed and managed in an ECM system.

Most in attendance said they were already using at least one ECM system, or in the process of implementing one. Some complained that they had more than one in their company, which is a problem in itself.

Should you save everything? 'Absolutely not,' says Parent. He says the trick is to decide what needs to be stored. 'Ask your employees to assist you,' he advises. 'They know what is worthy of storage, what needs to be tracked and kept, ARC helps businesses do just that.

Parent cites examples like 'a major oil and gas company' that brought in ARC Business Solutions because, after one year, their ECM system had low user acceptance. It was only being used by one small department.

The problem, Parent says, was that management used the 'big stick' method - announcing that the technology was being deployed to organize and protect the company's intellectual property.

Far better, he suggests, to use the 'carrot' approach of asking employees how ECM might help them do their jobs better. He also advocates having users ask to have spiffy new ECM features implemented, rather than pushing them down their throats.

He also addresses what he calls the 'SharePoint Conundrum' which is bedevilling many companies.

Microsoft is pushing this product hard, and according to Parent, it does offer ECM and it's getting better? It integrates seamlessly into Microsoft's other products.

Still, it's not a heavy-hitter ECM package like Documentum and the result can be open warfare. In his presentation, Parent quotes the CIO of a medium-sized oil and gas company as saying: 'There seem to be two camps in this company. The IT guys want SharePoint, and the records, legal and regulatory people want Documentum. And I'm stuck in the middle and I have no idea what to do. The records manager says he/she will resign if we implement SharePoint!' Parent notes that the records manager did indeed quit over this issue.

It didn't have to end that way.

Instead, companies should integrate SharePoint with their other ECM approaches. After all, once the data is spinning around out there, you can look at it through different windows. Parent says people overestimate the work involved in doing this, since 'integration is getting a lot easier.' Moral: There's often more than one way to skin an information cat.

ARC used EMC Captiva’s InputAccel, a customizable document capture solution, to create a system that uses advanced capture software technology to process web forms, along with paper and web applications. BMO InvestorLine required the solution to reduce high volumes of paper across multiple locations and quickly, accurately and securely process confidential customer information for online trading account applications. One of the most beneficial aspects of the solution is the ability to automatically trigger an event to approve a customer for trading. This has significantly reduced the manual labor historically involved with the approval process. Customer satisfaction has greatly improved as the time for approval of trading accounts has been significantly reduced. This benefit resulted primarily from automated functionality replacing human intervention in the front-end capture process where paper is converted to digital images.

Under the new model, customers visit the BMO InvestorLine web site and fill out their online application. Once completed, the customer electronically submits this form. An account is subsequently created in the primary business system, and a unique barcode is generated. During this same web session, the barcode appears on the customer’s application. The customer prints their online application, signs it and sends it to BMO InvestorLine. This physical signature is required to comply with Canadian legislation regarding online trading. When the signed application form is received, it is scanned and the barcode is automatically detected and matched with the data resident in the primary business system. The document is then automatically indexed and stored in a back-end document management system. This also triggers an automatic workflow event to approve the customer for trading. The system process also keeps a detailed audit trail of all activities related to a batch of documents.

Of particular note are the RSS feeds available for News, and Employment Listings. Customers are encouraged to subscribe to keep up to date on emergent news items, while job-seekers are able to effortlessly monitor the changing landscape of career opportunities at ARC.

RSS 2.0 (which, in its most recent format, stands for 'Really Simple Syndication') is a family of web feed formats used to publish frequently updated content such as news headlines. RSS makes it possible for people to keep up with their favorite web sites (pages) in an automated manner that's easier than checking them manually. An RSS document, which is called a 'feed', contains either a summary of content from an associated web site or the full text. RSS formats are specified using XML, a generic specification for the creation of data formats.

RSS content can be read using software called a 'feed reader' or an 'aggregator.' The aggregator provides a consolidated view of the content in a single browser display or desktop application. Such applications are also referred to as RSS readers, feed readers, feed aggregators, news readers or search aggregators.

The user subscribes to a feed by entering the feed's link into the reader or by clicking an RSS icon in a browser that initiates the subscription process. The reader checks the user's subscribed feeds regularly for new content, downloading any updates that it finds. Aggregators reduce the time and effort needed to regularly check websites for updates, creating a unique information space or 'personal newspaper.' Once subscribed to a feed, an aggregator is able to check for new content at user-determined intervals and retrieve the update. The content is sometimes described as being 'pulled' to the subscriber, as opposed to 'pushed' with email or Instant Messaging (IM).
